TL;DR
A staffing agency online finds, contracts and pays a full-time remote person who works only for your business, with no branch office or interview room involved. At Adaptive Teams the search usually takes 2 to 3 weeks, you meet 3 to 5 screened candidates, and you pay the agreed salary plus a staffing fee of 30% to 60% of it, month to month.
Search for a staffing agency and most of what comes back is a branch near you. The results are local temp offices in Albuquerque, Philadelphia or Chicago, each with a street address and a map pin. That model still works well for warehouse shifts and front desk cover, where someone has to be in the building.
Plenty of roles never needed the building. Customer support, bookkeeping, sales admin and executive assistance run on a laptop and your tools. For those seats, an online agency recruits across borders, handles the contract and payroll, and you never visit an office.
What is a staffing agency online?
An online staffing agency places people who work remotely for you, and it runs the hiring and the employment admin over video and software instead of through a local branch. The work it covers looks familiar: sourcing, screening, contracts, payroll and support after the start date. Only the place has changed.
The traditional market is large and very local. According to the American Staffing Association, the US had around 27,000 staffing and recruiting companies running close to 54,000 offices in 2021. Nearly 2.2 million temporary and contract employees worked for them in an average week in 2024.
Most of those offices fill roles within driving distance. An online agency draws from a different pool. Adaptive Teams recruits mostly in the Philippines, Latin America and Eastern Europe, and the person you hire works your hours from there.
How it differs from a job board or a freelance marketplace
A job board gives you applicants and leaves the rest to you. A freelance marketplace gives you a person billing by the hour or the project, often for several clients at once. An online staffing agency gives you one person who works full time for you, plus the recruiting, contract, payroll and HR support behind them.
If you are weighing those routes, our guide to hiring through a remote recruitment agency covers the recruiting side in more depth.
How does hiring through an online staffing agency work?
You describe the role and the salary band, the agency runs the search, and you choose from a short list of screened candidates. Here is how that runs at Adaptive Teams.
- Scope. We agree the role, hours, tools and salary band with you before anyone is sourced.
- Source. The search starts from our Teamtailor account, which holds 56,287 candidates and 64,982 applications, and adds outreach and referrals.
- Screen. Candidates go through skills tests, structured assessments and culture-fit interviews.
- Choose. You meet 3 to 5 screened candidates and make the final call yourself.
- Start. Contract and payroll begin on day one, and every placement starts with a 2-month probation period.
Most roles fill in 2 to 3 weeks. A traditional search for the same seat often takes 3 to 6 months, because it starts from scratch and waits for applicants.
What happens after the start date
This is where an online agency earns its fee or fails. A person working alone in another country needs someone checking in. Each Adaptive Teams placement gets a dedicated manager who runs check-ins, tracks attendance, handles leave and runs semiannual reviews with a skill development plan. You still direct the daily work.
How much does a staffing agency online cost?
At Adaptive Teams you pay the salary you agree with your hire plus a staffing fee, and that fee is a percentage of the salary that falls as the salary rises. Recruitment is included, and there is no upfront placement fee.
Staffing fee by monthly salary
| Monthly salary band | Fee rate (%) | Example salary ($) | Example fee ($) | Monthly total ($) |
|---|---|---|---|---|
| Up to $1,500 | 60 | 1,000 | 600 | 1,600 |
| $1,501 to $2,500 | 50 | 2,000 | 1,000 | 3,000 |
| $2,501 to $3,500 | 40 | 3,000 | 1,200 | 4,200 |
| $3,501 to $4,500 | 35 | 4,000 | 1,400 | 5,400 |
| Above $4,500 | 30 | 5,000 | 1,500 | 6,500 |
The fee covers the search, the contract, payroll twice a month, benefits administration, HR support and the performance manager. A hire who does not work out in the first 2 months is replaced free. If you only want the search and plan to run employment yourself, recruitment on its own is $4,000 flat per hire, invoiced when the person starts.

What a local hire costs for the same seat
Salary is only part of a local hire. The Bureau of Labor Statistics puts the 2025 median pay for customer service representatives at $44,770 a year, about $3,731 a month.
Wages make up 70.0% of what private employers spend per hour worked, according to the BLS employer costs release for June 2026. Benefits cover the other 30.0%. Gross up the median wage at that rate and a typical US support hire costs about $5,330 a month.
Monthly cost of one full-time support hire
| Hiring route | Monthly cost ($) |
|---|---|
| US hire, median wage only | 3,731 |
| US hire, wage plus benefits | 5,330 |
| Online hire at a $1,000 salary, fee included | 1,600 |
| Online hire at a $2,000 salary, fee included | 3,000 |

That last row matters. A senior bookkeeper or an experienced support lead often sits in the $1,501 to $2,500 band, and the total still lands below the local median wage alone. Our page on cost-effective remote staffing solutions shows where the savings land role by role.
Which roles suit an online staffing agency?
Roles that run on your software and your written process suit it best. You can hand over access, record a screen walkthrough and check the output the next morning.
The roles we fill most often show the pattern. KO Storage, which runs 70+ self-storage locations across the US, started with 4 call center agents through Adaptive Teams in August 2024. Eighteen months later it had 70+ team members across six departments: call center, revenue management, accounting, asset management, security and IT support.
Each new department came after the previous one was working. That order is worth copying. Start with the seat where the process is already written down, then add the next one.
Where a local branch is still the better pick
Some work needs a body in a place. Warehouse shifts, on-site reception, events and anything with a licence tied to a state belong with a local agency that can send someone tomorrow morning. A role that needs heavy overlap with US business hours can still go remote, but agree the shift during scoping so the salary band reflects it.
What should you ask before you sign with one?
Ask what happens after the hire. Most agencies look alike up to the signed contract, and the gaps show in month three.
Who manages the person day to day?
Ask for the name of the person who runs check-ins and notices when a good hire starts drifting. An agency without one is a recruiter with a payroll login.
What if the hire does not work out?
Get the replacement terms in writing. Ours cover the first 2 months at no cost, and the agreement runs month to month with 30 days written notice on either side. Be wary of an annual lock-in for a role you have never filled before.
Can you see the salary?
When an agency hides what the person earns, you cannot judge whether a strong hire will stay. With us you agree the salary directly and the fee is a published percentage of it. If you want more names to compare, our list of the best offshore staffing companies is a good place to start.
Where do online hires usually go wrong?
The most common mistake is handing a new person fifteen tasks on day one. They get fifteen things slightly wrong, and trust drops before it had a chance to form. Two documented tasks, each with a screen recording, make a better first week.
The second is skipping the overlap. A remote hire who never shares a working hour with you waits a full day for every answer. Agree two or three shared hours, even for roles that mostly run asynchronously.
The third is treating the agency as done once the contract is signed. A placement nobody checks on after week two tends to fade quietly, first with slower replies, then with missed handoffs.
Frequently asked questions
Is an online staffing agency the same as a remote recruitment agency?
Not quite. A recruitment agency finds the person and hands over employment to you. An online staffing agency also holds the contract, runs payroll and supports the hire after day one. Adaptive Teams offers both: the full staffing model, or recruitment only at $4,000 flat per hire.
Do I need a company abroad to hire through an online agency?
No. At Adaptive Teams every contract runs through our global payroll partner, which handles the compliant contract, tax and benefits admin in the hire's own country. You receive one invoice, your team member is paid twice a month, and you never set up a foreign entity yourself.
How long does an online staffing agency take to fill a role?
Most Adaptive Teams roles fill in 2 to 3 weeks. The search starts from a pipeline of 56,287 candidates, so it rarely waits on fresh applicants. You meet 3 to 5 screened candidates, choose one, and the 2-month probation period then proves the fit on real work.
Can I start with one remote hire?
Yes. Most clients start with a single role on a month to month agreement with 30 days notice. KO Storage began with 4 call center agents and grew to 70+ team members across six departments in 18 months, adding each role once the last one was working.
Where to start
Pick the role that has been open longest. Write down its hours, the tools it uses and a salary band you can live with. That is enough to scope a search.
If you want us to run it, our recruitment services team scopes the role with you and puts 3 to 5 screened candidates in front of you, usually within 2 to 3 weeks.
