Remote Teams Without Structure Underperform

  • DriftRemote people without steady attention quietly check out. First slower replies, then missed deadlines, then a resignation you did not see coming. By then output has been slipping for months.
  • Failed translationOffice habits do not carry over. There is no walk past a desk and no quick word after a meeting. Without a planned replacement, management turns reactive.
  • Divided attentionYour managers already run local teams, projects and their own work. Oversight of remote staff in other time zones is the first thing that slips.

Why Remote Teams Need Structured Performance Management

  • One manager who knows the role and talks to your team member every week in the first months.
  • Problems surface early. Attendance and output are tracked daily, so issues are handled while they are small.
  • Decisions on paper. Reviews, attendance records and improvement plans give you a clear trail for every raise or exit.

Your remote people need attention from someone who knows distributed work. That is what Adaptive Teams provides.

Why Performance Management Cannot Be an Afterthought

You manage the work. We manage the person.

Most companies that hire through an offshore staffing agency get a placement and a monthly invoice. That is the whole relationship. The agency takes its fee and you work out management on your own. When the hire fails, the agency finds a replacement and the cycle starts again.

We built Adaptive Teams on a different model. Placing talent is half the job. The other half is making sure that person performs, grows and stays. That takes steady, structured employee performance management, run by people who do it full time.

Every part of this framework comes from our Master Service Agreement. These are not sales promises. They are contract terms that set how we work with every client.

  • 1:1dedicated manager per placement
  • 2x/yrformal written reviews
  • $0extra fee for any of it

The Performance Management Framework

Five parts that turn a remote placement into an accountable, growing team member. All of it is part of our HR management service.

  • Dedicated manager per placement

Every person placed through Adaptive Teams gets a dedicated performance manager. One contact who learns your business and the role, and builds a real working relationship with your team member. They are the bridge between what you expect and what happens day to day.

  • Semiannual performance reviews

Every six months we write a structured review for each placement. We score work against the KPIs you agreed, note real wins, name clear growth areas and set an improvement plan with dates. You get the full review and our advice.

  • Attendance and availability tracking

We track daily attendance, punctuality and availability. Issues go to you right away, not in a monthly report that comes too late. A first unexcused absence is logged. A pattern means a direct talk. A lasting issue means a formal improvement plan with measurable goals.

  • Compensation review support

When a raise comes up, we bring market benchmarks, performance history and attendance records. Merit increases pass through at cost. Our payroll management team applies the change in the next Deel payroll.

  • Skill development and training

Reviews are not only about scoring output. In check-ins we spot skill gaps and suggest a path: a certification, an online course or a mentor. Your people grow with you and add more value every quarter.

Structured Reviews That Drive Growth

Our semiannual reviews are more than a few lines of feedback. Each one covers KPI results, professional conduct, skill progress and where the person is heading next. You get an honest assessment backed by data, so you can make clear decisions about your team.

Maybe your team member is ready for more responsibility. Maybe they need support in one area. Either way, you always know where they stand.

  • KPI results against the targets you set
  • Professional conduct and communication
  • Attendance and availability record
  • Skill development progress
  • Growth path and next six-month plan
  • Our recommendation, in writing

How It Works

The same rhythm for every placement, from the first week for as long as they work with you.

  • Month 1 to 2: probation and onboarding

Weekly check-ins between the manager, your team member and your team. We set KPIs and expectations, watch the first weeks closely and fix onboarding friction before it becomes a habit. This 2-month probation shows whether the fit is right, and it is covered by our free replacement guarantee.

  • Month 3 to 5: finding the rhythm

Check-ins move to every two weeks. Around month four we run a first informal review to check expectations against real output. Attendance tracking is fully live and early patterns are dealt with.

  • Month 6: first semiannual review

The first formal written review. It covers KPI results, conduct, skill progress and growth path. You get the full report with our advice for the next six months.

  • Ongoing: continuous management

Monthly check-ins, daily attendance tracking, quarterly skill checks and a formal review every six months. Pay reviews happen yearly or when needed. The structure runs for the whole placement.

What the Managed Model Is Designed to Deliver

Steady management attention changes how long people stay and how fast they grow.

  • Longer retention

People who get regular attention from a manager stay longer. The model is built to cut turnover and end the costly rehiring cycle. At KO Storage, career paths kept people across 70+ roles.

  • Earlier issue detection

Regular check-ins and daily attendance tracking bring problems up while they are small and fixable, not after they turn into a resignation or a failed placement.

  • Data-backed decisions

Every pay decision rests on market benchmarks, performance history and attendance records. No more guessing on raises or promotions.

  • Continuous skill growth

Training tied to your business needs means people keep growing instead of standing still. At KO Storage, call center agents grew into district coordinator roles.

Every performance decision leaves a clear paper trail. That gives you confidence and protection for the whole working relationship.

Performance Management at $0 Extra

There is no add-on price. Performance management is part of every staffing placement, along with recruitment, the Deel contract, payroll and HR.

You pay the agreed monthly salary plus a staffing fee, a percentage of that salary. Unmanaged placements fail, so we do not sell one without the other.

Staffing fee

One monthly invoice per person: salary plus a staffing fee that goes down as the salary goes up.

Is the performance manager a replacement for my own management?

No. The performance manager runs the people side: attendance, formal reviews, HR process and escalation. Your team still gives daily direction, runs projects and leads on technical work. You manage the work, we manage the person.

How many employees does each performance manager handle?

Our managers keep focused portfolios so every person gets real attention. The exact number depends on how complex the roles are. Every team member gets individual management, not a line on a spreadsheet checked once a quarter.

What happens if an employee fails to improve after a performance plan?

If a formal improvement plan does not work within the agreed time, we decide the next step with you. That can be new responsibilities, a longer plan with more support, or ending the placement. Our HR team runs the offboarding and our recruitment team starts on a replacement right away.

Do I have visibility into the performance management process?

Yes. You get copies of every formal review, attendance report and improvement plan. We consult you before any escalation, and you can ask for an update or an extra check-in at any time. This is your team. We manage them on your behalf, not behind your back.

Is performance management included in the service fee, or is it an add-on?

It is included. There is no extra fee for the dedicated manager, semiannual reviews, attendance tracking or compensation review support. It is part of the staffing fee because unmanaged placements fail.

Can I customize the KPIs and review criteria?

Yes. During onboarding we set the KPIs, behavior expectations and benchmarks for each role with you. Every review is built on them, and we update them as your business changes. The structure stays the same, the content is yours.
