TL;DR

A remote staffing service finds a full-time person abroad, puts them under contract, pays them and helps you manage them, while they work only for you. At Adaptive Teams you agree the salary with your hire and pay a staffing fee of 30% to 60% of it. Most roles fill in 2 to 3 weeks, the first 2 months carry a free replacement, and the agreement runs month to month.

Most pages about staffing stop at the signed contract. That is the easy part. What you are really buying is everything that happens around one person for as long as they work with you: the search, the paperwork, two paydays a month, leave requests, reviews and the awkward conversation in month four when output slips.

This page walks through that service in the order you will meet it, with the real numbers attached.

What does a remote staffing service include?

It includes recruitment, the employment contract, payroll, HR support and ongoing performance management for a person who takes direction from you. The person joins your chat, works your hours and reports to your team lead.

At Adaptive Teams the staffing fee covers all of it. In practice that breaks down like this:

  • Before the start date: role scoping, sourcing, skills tests, English checks, reference checks, a recorded video interview and a shortlist of 3 to 5 people.
  • On day one: a locally compliant contract through our global payroll partner, onboarding with accounts and introductions, and payroll and benefits switched on.
  • Every month after: payroll twice a month, leave and records, wellbeing check-ins, attendance tracking and a dedicated performance manager.
  • Twice a year: a formal review and a skill development plan.

If you are still deciding between this model and an employer of record platform or a freelance marketplace, our breakdown of remote staffing companies and how they work compares the four models side by side. The rest of this page assumes you want the managed version.

How much does a remote staffing service cost per month?

You pay the agreed monthly salary plus a staffing fee that is a percentage of that salary. The percentage drops as the salary rises, and recruitment is included.

Agreed monthly salary Staffing fee (%) Fee per month ($) Your monthly total ($)
$1,000 60 600 1,600
$2,000 50 1,000 3,000
$3,000 40 1,200 4,200
$4,000 35 1,400 5,400
$5,000 30 1,500 6,500

The bands behind those rows: 60% up to $1,500, 50% to $2,500, 40% to $3,500, 35% to $4,500 and 30% above that. There is no placement fee and no deposit. You pay nothing until your new team member starts.

If you only want the search and plan to employ the person yourself, recruitment on its own costs $4,000 flat per hire. Our explainer on how staffing agency fees are built shows how other providers price the same work, which helps when you line up quotes.

What you compare it against

A US customer service representative earned a median of $44,770 in 2025, according to the Bureau of Labor Statistics Occupational Outlook Handbook. That is about $3,731 a month in wages.

Wages are only part of the bill. The BLS Employer Costs for Employee Compensation release for June 2026 puts wages at 70% of private employer compensation costs, with benefits making up the other 30%. Gross up the median and a local support hire runs close to $5,330 a month.

Then the search itself. SHRM's benchmarking data put the average cost per hire at nearly $4,700. A support agent through a remote staffing service at a $1,000 salary costs $1,600 a month with the search already paid for.

How does the search work before anyone starts?

The search starts with a call to scope the role and agree a salary band, and nobody is sourced until that band is set. Getting the band right early is what keeps a good hire from leaving for a raise six months later.

From there the recruiter works the pipeline. Our TeamTailor account holds 56,287 candidates and 64,982 applications, so a new search begins with people we already know. Fresh sourcing still runs through outreach, referrals and remote talent communities.

Screening is where most of the time goes. A pool of 100+ applicants usually narrows to 10 to 15 strong candidates after skills tests, English checks, reference checks and a recorded video interview. We also check internet, workspace, time management and past remote work, because those decide whether someone lasts.

You see 3 to 5 people with their scores, the interview recording and the recruiter's notes on strengths and concerns. You interview whoever you like and make the final call. For what to ask in that round, our guide to interviewing remote candidates for team fit has the questions we use.

How long it takes

Most roles fill in 2 to 3 weeks. Entry-level roles such as customer service tend to move faster. Senior or specialist roles can take 4 to 6 weeks, and you can follow progress in the pipeline the whole way.

What happens in the first 60 days?

The first 60 days are a probation period, and the free replacement covers the same window. If a hire is not meeting expectations in the first two months, we source and place someone new at no extra cost.

Onboarding starts on day one with equipment, accounts, introductions and first-week check-ins. Payroll and benefits start the same day, so the person is never waiting on their first payment while learning your systems.

The part buyers underrate is the check-in rhythm. We check in often during the first 90 days, and the performance manager is the person who notices early when a new hire goes quiet. You hear about it while it is still a coaching conversation.

Give the person less on day one than you think. A new hire handed fifteen tasks in week one returns fifteen small errors. Two well documented tasks with a screen recording each will tell you more about fit by day 30.

Who manages the person after month two?

You direct the daily work, and the service runs everything around it. That split is what separates a staffing service from a recruiter who disappears after the invoice.

In practice the dedicated performance manager tracks attendance, runs wellbeing check-ins and satisfaction surveys, joins weekly team calls and holds semiannual reviews with a skill development plan. Leave requests, records and offboarding sit with our HR team. Salary adjustments pass through at cost, and you get one invoice per person each month.

What it looks like at scale

KO Storage runs 70+ self-storage locations across the US. We recruited their first four call center agents in August 2024. Eighteen months later they had 70+ Adaptive Teams contractors across six departments: call center, revenue management, accounting, asset management, security and IT support.

That growth did not come from one large order. Each department started small and grew once the first hires proved themselves, which is the pattern we see with most clients.

When is a remote staffing service the wrong fit?

It is the wrong fit when you need a finished outcome and never want to direct the work yourself. A business process outsourcing firm that manages its own people suits that better.

It is also more than you need if you already found the person and only want a compliant contract. An employer of record platform does that for less, though you keep the sourcing and management. And for a two-week project, a freelancer is the simpler tool. A staffing service pays off when the role is ongoing and needs your context every day.

Frequently asked questions

Is a remote staffing service the same as a recruitment agency?

No. A recruitment agency usually stops once the person is hired and you employ them yourself. A remote staffing service also holds the contract, runs payroll twice a month and manages performance for as long as the person works with you. Adaptive Teams offers both, with recruitment only at $4,000 flat per hire.

Do I need a company in my hire's country?

No. Every Adaptive Teams contract runs through our global payroll partner, which handles locally compliant contracts, tax and benefits admin in the hire's country. You receive one invoice per person each month and never set up a local entity. Your team member gets paid twice a month in their own country.

Can I cancel a remote staffing service?

Yes. Adaptive Teams staffing runs month to month with 30 days written notice on either side, and there is no annual lock-in. In the first 2 months a free replacement covers a hire who does not work out, so you can test a new role without signing up for a year.

What does the staffing fee not cover?

The fee covers recruitment, the contract, payroll, HR support, performance management and the replacement guarantee. The salary itself is separate: you agree it directly with your hire and it passes through at cost. Teams of 2 to 4 people get a 3% volume discount, rising to 9% from 10 people.

Where to start

Pick the role that has been open longest. Write down the hours it needs covered, the tools the person will use and a salary band you can live with. That is enough to scope a search.

If you want us to run it, our recruitment team scopes the role with you and puts 3 to 5 screened candidates in front of you, usually within 2 to 3 weeks.
